Feature ArticleDo You Know What You're Doing?
The boss ordered one of his men to dig a hole eight
feet deep. After the job was completed the boss returned and explained an error had been made and the hole wouldn't be needed. "Fill 'er up," he ordered.
The worker did as he'd been told. But he ran into a
problem. He couldn't get all the dirt packed back into the hole without leaving a mound on top. He went to the office and explained his problem.
The boss snorted, "Honestly! The kind of help you get
these days! There's obviously only one thing to do. You'll
have to dig that hole deeper!"
The joke is funny only if you realize that earth expands
about twenty five percent once you dig it up. Had the "boss" ever had a shovel in his hands he may have realized that. It would not matter how deep you dig that hole, when you filled it in you would still have some
left over.
This joke puts me in mind of those bosses who, knowing
nothing about computers or software, purchase both
thinking they have given the staff all the tools to do the
job. So often they end up with the wrong machines, the
wrong software and give the staff the most inefficient of tools.

It is too bad when someone, who doesn't know what they
are doing, gets involved in a task. So often fear, frustration
and failure are the result.
Such a waste of time, effort and emotions when a little
simple research and gathering knowledge ahead of time would create a condition from which success could rise like a phoenix.
How about you? Do you barge into things, thinking on
the surface it is bound to succeed? Have you really done
your homework before you've taken the plunge?
It is very easy to do, especially on the internet. All the advertising and all the hype one sees on the internet has
an hypnotic effect. One sees so much of it that soon one
gets to believe you can make a fortune on the net.
That is true, you can. However, if you think it happens
automatically you had better wake up. Succeeding at anything takes work, even on the internet. Oh, yes, there are tools that make the internet a little more automatic, but there are other conditions on the internet you don't see in a brick and mortar business.
For example I make sales, often, to folks who have been
watching what I do for periods up to two and three years.
They look at our service, then go looking around. They
wait to see if we are still going to be here. They do not
realize, at first glance, that we've been here nearly ten
years. It takes time for them to trust themselves and to do
the research that allows them to understand what
they are doing.

Always use proper file naming conventions
One of the most common mistakes web
design newbies
make is to use improper file naming conventions on their images. Then
when their images won't display, they wonder why. The problem is that
not all Web servers and browsers display the same way. The trick is to
use HTML and file naming conventions that are common to all systems
and browsers.
When you save an image in an image editor like
Adobe Photoshop, you can name it whatever you want. However, there are
several characters you should never use in a filename:
- It's often convenient to use a long descriptive
name like "My dog Rex.jpg" but
when the Web
server sees this it will stop reading the file name once it gets to
the space. It will then look for a file called "My". The solution for
this is to use underscores ("_") instead of spaces
- People also often include dates in their filenames,
such as "WifePix-6/20/00.jpg". In
this case, the Web server will think
that the slashes actually indicate directories. It will assume you
mean that there is a file called "00.jpg
" which is inside a directory
called "20" which is itself inside
a directory called "WifePix-6" The
solution here is to use some other syntax for dates. A common way to
express dates on the Web is to indicate the year, month, and date in
that order without punctuation. For example, the filename indicated
above could be written as: "
WifePix-20000620.jpg".
- Another common mistake is to use apostrophes as in:
"My_dog's_pic.jpg". In this case,
the Web server will think the
apostrophe is a quote and will look for a file called "My_dog". Never
use apostrophes or quotation marks within a filename.

Nearly all other punctuation marks can also cause
problems. In general, it's safest to use only lower-case letters,
numbers, and underscores.

Second ArticleEfficient Email Tips
Much incoming e-mail can be read once, then promptly deletedthis means less e-mail clutter to wade through. At the least, do a clean-up once a month.
Create email folders for specific clients, projects, or subject areas, rather than leaving them in your inbox forever. You can drag and drop to file each email, or you can create filters to drive emails automatically to a folder you designate. But don’t go overboard -- too many narrow, specific folders makes it harder to locate emails later.
If your email software doesn’t allow you to create folders, an alternative is to use Save As to save emails as text files. Group them into directories by client, project, function, etc.
Use detailed subject headers - sometimes the whole message can be in the header! This saves time when searching for old e-mails later on.
Insert "NRN" in subject headers when no reply is necessary.
Customize your email software to display all the information you need at a glance. Microsoft Outlook allows you to add columns to your email screen.
Delete unneeded e-mails regularly. You usually only need to save the last message of an ongoing "conversation" - the most recent message contains quotebacks of all previous messages.
Keep your inbox lean so it becomes an extension of your To-Do list. Everything you must keep should be dragged into the correct folder. Only emails that require action should remain in the inbox for more than a day.
If you follow the above tips, you won’t need to print most of your emails - you can save time by filing and accessing them digitally! However, for a meeting away from your office or a project for which most information is not digital - then printing emails makes sense. Printing emails should be the exception however, not the rule.
Unfortunately, filters are no longer adequate to control spam. Consider a spam blocker that checks incoming emails against a list of "accepted senders" that you create. Two ‘permission-only’ programs are Postmaster Pro and Spam Arrest.
Create templates for routine replies.
Last but not least, know when to telephone. Unless you need to send the same message a group, or keep a record of what you said when to whom, the phone may be faster.
